Overview

Our SAP SuccessFactors integration allows you to connect your SAP SuccessFactors instance with Alex through Kombo. This integration enables seamless data synchronization between the platforms, allowing you to automatically invite candidates to AI interviews, update application stages, and add interview notes directly to candidate applications.

Steps to Integrate:

1. Set up Kombo Integration

To connect SAP SuccessFactors with Alex, you’ll need a Kombo integration ID. Kombo provides a unified API layer that connects Alex to your SAP SuccessFactors instance.
  1. If you don’t already have a Kombo account, visit Kombo to create one.
  2. In your Kombo dashboard, create a new integration and select SAP SuccessFactors as your ATS.
  3. Follow Kombo’s instructions to authenticate with your SAP SuccessFactors instance using OAuth.
  4. Once connected, copy your Kombo Integration ID from the Kombo dashboard.

2. Connect to Alex

Once you have your Kombo Integration ID:
  1. Navigate to the Settings tab in the Alex app.
  2. Click Integrations from the left-hand side menu.
  3. Select SAP SuccessFactors from the list of integrations.
  4. Paste your Kombo Integration ID into the provided field.
  5. Click Test Connection to verify your credentials.
  6. If successful, click Connect to save your integration settings.

3. Configure SAP SuccessFactors

To enable the full integration functionality, you’ll need to configure a few things in your SAP SuccessFactors instance:

Custom Fields (Optional)

If you want to store Alex interview scores directly in SAP SuccessFactors, you can create a custom field on the Job Application object:
  1. In SAP SuccessFactors, navigate to Admin Center > Configure Object Definitions.
  2. Select the Job Application object.
  3. Add a custom field named alex_interview_score (or your preferred name).
  4. Set the field type to Number or Text as appropriate.
  5. Save your changes.

Application Stages

To enable automatic stage updates based on interview results:
  1. Navigate to your SAP SuccessFactors Admin Center.
  2. Go to Recruiting > Application Status Configuration.
  3. Create or identify the stages you want to use for your Alex workflow (e.g., “AI Interview Pending”, “AI Interview Completed”, “AI Interview Passed”).
  4. Note the exact names of these stages - you’ll use them when configuring workflows in Alex.

Using the Integration

Automatic Candidate Invitations

Once your integration is connected, you can set up automations in Alex to automatically invite candidates when they apply to jobs in SAP SuccessFactors:
  1. In Alex, navigate to Settings > Automations.
  2. Enable Automatic Invites for SAP SuccessFactors.
  3. Configure which jobs or stages should trigger automatic invitations.
  4. Candidates will receive email invitations from Alex when they meet your criteria.

Interview Results Sync

When a candidate completes their AI interview:
  1. A note is automatically added to their Job Application in SAP SuccessFactors containing:
    • Overall interview score
    • Evaluation summary
    • Skill scores and feedback
    • Link to the full report in Alex
  2. If configured, the candidate’s application stage will automatically update based on their interview performance.
  3. If you’ve set up the custom field, the interview score will be written to the alex_interview_score field.

Workflow Configuration

You can create custom workflows in Alex to control how candidates move through your SAP SuccessFactors pipeline:
  1. In Alex, navigate to Workflows.
  2. Create or edit a workflow for SAP SuccessFactors applications.
  3. Configure workflow actions to:
    • Update application stages based on interview scores
    • Add custom notes at different workflow steps
    • Filter candidates by current stage or custom fields
